GKLL Events - Bookings and Cancellation Policy

Upon making a reservation with Gostlin Keefer Lake Lodge (GKLL), all guests agree to these terms and conditions listed below. The Renter and all guests most also review and agree to Keefer's House Policies.

Release of Liability / Waiver

Upon arrival at GKLL, all guests will be required to sign a Release of Liability, Waiver of Claims, Assumption of Risks and Indemnity Agreement. Guests taking part in adventure activities hosted at Gostlin Keefer Lake Lodge may also be required to sign a release of liability with a 3rd- party supplier/facilitator. By signing this document(s), guests will waive certain legal rights, including the right to sue. All claims – irrespective of a guest’s nationality – shall be governed in all respects by and interpreted in accordance with the laws of British Columbia, Canada. All guests must be 19 years of age or older upon signing the waiver. If you are required to sign a digital release of liability agreement, you will be required to complete and sign the real document on arrival at Gostlin Keefer Lake Lodge.

Property and Equipment belonging to GKLL

For the purposes of this agreement, property and equipment includes but is not limited to: buildings; tools; vehicles; infrastructure; recreational equipment; furniture; safety equipment and industrial or domestic utensils belonging to GKLL.

Damages to Property of GKLL

As a guest at GKLL, you will be responsible for the reimbursement of GKLL, for any and all damage(s), breakages, or loss(es) howsoever caused (whether by deliberate, negligent, or reckless act) to the Property of GKLL by you and/or anyone under your booking. The total cost of repair or replacement, to make good or remedy any such damage(s), breakages, or loss(es) will be determined by GKLL and provided to you via invoice with 30-days terms. Invoice payments should be made via credit card on receipt of the invoice.

Guest Property & Parking

All vehicles, tents, campers and recreational vehicles (RV’s) are pitched, parked and left at the risk of the owner.  GKLL shall not assume liability or responsibility for any vehicle, tent, RV, occupants, or contents while operated, parked, pitched or left on GKLL property.

Payment Details

All prices are in Canadian dollars (CAD) and include fees and taxes.

Our chosen payment gateway is Flywire. Please note: All credit card statements will show Flywire NOT Gostlin Keefer Lake Lodge.

Booking Policy

All prices are in Canadian dollars (CAD).

A signed contract is required to initate the partnership. 

GKLL requires a minimum spend towards the facility fee, accommodation, and food & beverage of $4,500 per night (taxes and gratuties not included). 

An event deposite, equivalent to the minimum one night spend amount, is required upon contract signing and is non-refundable.

For booking purposes, any enhancement activities you would like to include within the event needs to be communicated as soon as possible. Once activities have been confirmed by the Guest Relations Coordinators, there will be an additional deposit required. 

Guest list, accommodations, food & beverage choices are due 60 days prior to arrival.

Required guest registration must be completed 30 days prior to arrival. 

Final payment is due 30 days prior to arrival. 

Damage deposit (50% of event deposit) and proof of liability insurance is required 14 days prior to arrival. 

Cancellation Policy

Cancellations made more than 45 days prior to your booking fulfillment date are refundable, less the 25% non-refundable deposit.

Cancellations made less than 45 days prior to your booking fulfillment date are 100% non-refundable or transferrable to another date or event package.

If GKLL is able to re-sell your package, GKLL will issue you a credit voucher for the value of your trip less the 25% non-refundable deposit, valid for 12 months from the date of issue. Cancellation by Gostlin Keefer Lake Lodge

We reserve the right, at our sole discretion, to cancel an event for any reason. Gostlin Keefer Lake Lodge may elect to provide credits only for the cancelled booking. The credit may be applied to another GKLL event package. Credits issued for cancelled GKLL event packages may not be used toward a future Cat-skiing bookings. Any credit voucher issued will be valid for 12 months, from the date of issue.

Insurance

Trip Cancellation/Interruption

We recommend all guests take out travel insurance that covers trip cancellation and interruption and insure their experience, as cancellations made within 45-day of your booking fulfillment date are 100%  non-refundable. Purchasing Trip Interruption and Cancellation Insurance is your only way to obtain a full refund, should for any reason you need to cancel your booking or are unable to attend your trip.

Our preferred provider is Acera Insurance. Acera Insurance has extensive experience in providing insurance for backcountry adventures. This insurance policy insures unexpected cancellations prior to your departure and disruptions during your trip that may cause you unexpected travel expenses or the loss of all or a portion of your trip. (i.e., illness, injury, death of a family member, delayed flights, missed shuttles, etc.)

Known reasons to cancel at the time of policy purchase are not covered.

This product is recommended solely for the benefit of our guests. Keefer Lake Lodge does not receive any proceeds from the purchase of Travel Insurance. If you are concerned you may have to cancel, this is your only option to obtain a full refund.

Emergency Medical & Evacuation Insurance

Being a remote backcountry destination, Gostlin Keefer Lake Lodge is a 2-3 hour drive from the nearest emergency services/hospital. Should you experience an unexpected illness or injury during your stay, that requires emergency hospitalization and/or treatment from a medical professional, emergency response services, such as air evacuation might be required to evacuate you to the nearest hospital. Emergency medical evacuation can be hugely expensive. For this reason, we strongly recommend that all guests ensure they have suitable insurance in place, that would cover emergency medical evacuation and hospitalization fees, should a situation arise where you or your family require emergency medical evacuation during your stay.

Emergency Medical Insurance can be purchased with Trip Interruption & Cancellation insurance or as a standalone product through Acera Insurance*

*Emergency Medical insurance coverage as a standalone product is not available to residents of BC.

Visiting Canada as A Tourist

Most people need a Visa or an Electronic Travel Authorization (eTA) to fly to or transit through Canada. (US Citizens will only require a passport).

Be prepared: Apply for an eTA as soon as possible. Most applicants are approved within minutes. However, there is the possibility of a delay or a denial.

It is recommended you arrange your eTA as soon as possible to pre-determine your entry status.

Gostlin Keefer Lake Lodge is not responsible or liable to make any refunds, for guests who are denied an eTA. Note that a denied or delayed eTA or denied entry at the Canadian Border is not covered by Travel Insurance.

Late Arrivals

GKLL cannot make exceptions for any reason including: weather issues; health-related issues; border crossing problems; personal or family emergencies; illness or injuries and is not responsible for any time missed of your trip/package, there is no refund for arriving late or leaving early.

Liquor Policy

Due to the specifics of British Columbia Liquor Laws, any alcohol on the premises must be purchased under our liquor license. As a result, guests are not permitted to bring their own alcohol to GKLL. GKLL’s bar, The Twisted Post, is stocked with a full selection of beer and spirits and has a full range of British Columbian and international wines.

Harassment (sexual, physical, verbal), bullying & violence against GKLL staff policy.

GKLL is committed to preventing workplace harassment, bullying and violence and providing a work environment in which all individuals are treated with respect and dignity and protected from violence. Workplace harassment, bullying or violence will not be tolerated from any staff member, guest or third parties at GKLL.

Harassment (including sexual, physical, or any inappropriate vexatious conduct or comment by a person towards a worker that the person knew or reasonably ought to have known would cause that worker to be humiliated, offended or intimidated), bullying and violence at GKLL is unacceptable from anyone in and around these premises.

GKLL will take whatever steps are reasonable to protect its workers from workplace harassment, bullying and violence from all sources. By entering GKLL premises you hereby agree to indemnify and hold harmless GKLL, its respective directors, officers, employees, guides, agents, independent contractors, subcontractors, representatives, successors, and assigns from and against any liabilities, losses, claims, demands, costs (including, without limitation, legal fees) and expenses arising in connection with the application and enforcement of this policy. You also agree that any rights, duties and obligations that may arise between the parties to this policy shall be governed by and interpreted solely in accordance with the laws of the Province of British Columbia and no other jurisdiction.

Guests or third parties that violate this policy may be subject to the following actions at the sole discretion of GKLL management:

  • Be asked to leave GKLL premises;
  • Be permanently or temporarily banned from GKLL premises;
  • Be reported to the Royal Canadian Mounted Police (RCMP) (Lumby or Vernon) detachments

Staff (including managers, supervisors, sub-contractors and workers) of GKLL are expected to uphold both this policy and will be held accountable by GKLL to work together to prevent workplace harassment, bullying and violence. Any incidents of sexual/physical/verbal harassment, bullying or violence are to be immediately reported by either guests or staff members to GKLL management.

Under no circumstances is GKLL responsible for the guests’ or third parties’ inconvenience or travel expenses or for providing a refund or future credit as a result of the application or enforcement of this policy.
