Gostlin Keefer Lake Lodge Catskiing Booking and Cancellation Policies

Upon making a reservation with Gostlin Keefer Lake Lodge (GKLL), all guests agree to these terms and conditions:

Release of Liability / Waiver 

All guests are required to sign a Release of Liability, Waiver of Claims, Assumption of Risks and Indemnity Agreement before being allowed to ski with us. By signing this document, guests will waive certain legal rights, including the right to sue. All claims – irrespective of a guest’s nationality – shall be governed in all respects by and interpreted in accordance with the laws of British Columbia, Canada. All guests must be 19 years of age or older upon signing the waiver or must have their legal parent or guardian present to sign the waiver on their behalf. The digital waiver on the GKLL website is a SAMPLE ONLY. Upon booking, all guests are required to complete a digital copy of this waiver. Upon arrival at the Lodge, guests are required to sign a physical copy of the waiver and an acknowledgment that they have read and agree to these terms and conditions. Guests who do not sign these documents will not be permitted to engage in Catskiing. 

Electronic Signatures 

You agree that by using your electronic signature to make a reservation with GKLL, you intend that signature to authenticate the documents provided by GKLL and to have the same force and effect as your manual signature. 

Skier and Snowboarder Skill Levels 

The terrain at GKLL comprises steep terrain, chutes, ridgelines and gladded tree runs, which is best suited for advanced to expert-level skiers and snowboarders. Note: An expert skier or snowboarder on groomed slopes may be an intermediate skier or snowboarder in powder and trees. We recommend that all guests be in good physical condition. There are a limited number of powder skis and snowboards available to demo at the lodge, and are included within the cost of your package. Please note demo equipment is available on a first-come-first-serve basis once guests are at the lodge. GKLL will not allow guests to reserve or book demo equipment in advance.  

Any ski or safety equipment belonging to GKLL that is lost or damaged (outside of manufacture defect) whilst assigned to a guest will be charged to that guest to cover the cost of replacement at the following rates: Skis/Snowboard - $800, Radio - $550, BCA Float Pack - $400, Transceiver - $300, BCA Probe - $50, BCA Shovel - $50, K2 Poles - $50 

Payment Details 

All prices are in Canadian dollars (CAD) and include fees and taxes. 

GKLL’s chosen payment gateway is Flywire. Please note: All credit card statements will show ​Flywire, NOT Gostlin Keefer Lake Lodge. 

Booking Policy & Deposit Schedule 

GKLL requires a 25% non-refundable initial deposit to reserve your seat. An additional 25% payment is due by May 1, and the remaining 50% of the balance is due on October 1. Guests who make a booking after May 1 are required to pay a 50% deposit at the time of booking. Guests who make a booking after October 1 are required to pay a 100% payment at the time of booking. 

Late Payments 

As a result of our growing waitlist, payment is due according to the payment structure outlined above.  Late payments will not be accepted. 

GKLL reserves the right to cancel unpaid bookings and re-sell your seat. 

If guests do not pay the 50% deposit by the May 1 deadline, their reservation will be cancelled; their seats will be returned to the booking pool. If GKLL finds a replacement for the cancelled seat, any payment over and above the 25% non-refundable deposit will be refunded. If GKLL does not find a replacement for the cancelled seat, no refund will be issued. 

If a guest fails to fully pay their deposits by the October 1 deadline, then an additional fee of 5% of the total trip cost will be added to their invoice. If GKLL does not receive the total outstanding balance by October 15, the guest’s reservation will be cancelled, and their seat will be returned to the booking pool. If GKLL finds a replacement for the cancelled seat, any payment over and above the 25% non-refundable deposit will be refunded. If GKLL does not find a replacement for the cancelled seat, no refund will be issued. 

Cancellations and Refunds 

Weather conditions are outside GKLL’s control, and there is no guarantee that conditions will allow for skiing or snowboarding during your reservation dates. GKLL does not provide refunds or credits for any of the following: guest’s inability to ski, snowboard, or participate in any outdoor activity caused by weather conditions, including snow stability issues and poor or hazardous conditions; health-related issues; personal or family emergencies; illness or injuries; cancellations due to travel or border crossing issues; or any other events that are outside the reasonable control of GKLL. Under no circumstances is GKLL responsible for guests’ inconvenience or travel expenses. 

Cancellation by Guest 

Your initial 25% deposit is non-refundable 

If you cancel your reservation and wish to release your seat into the booking pool GKLL will make a reasonable attempt to fill your cancelled reservation date. If GKLL is able to re-sell reservations on your cancelled reservation date, at full price, then GKLL will refund all funds received from you over and above the 25% non-refundable deposit. If GKLL is unable to fill your cancelled reservation date, all funds received from you will be forfeited. 

Guests who wish to obtain the option of a full refund must purchase Trip Cancellation and Interruption Insurance (see details below). We strongly advise that guests purchase this insurance. 

GKLL will provide guests who have a Trip Cancellation Insurance Policy with a cancellation letter to the insurer to assist in recouping any money lost.  

Seat Transfer Policy 

Guests wishing to cancel will have the option to transfer their seat to another person who is at least 19 years old, subject to GKLL’s approval. 

GKLL will accommodate seat transfers free of charge, subject to the instructions of the person who made the original reservation. After acting on the original seat holder’s instructions to transfer the seats and funds held by GKLL to the new person’s name, the original seat holder releases all claims to the funds originally deposited with GKLL and will have no claim to a refund whatsoever 

Cancellation by Gostlin Keefer Lake Lodge 

GKLL reserves the right, at their sole discretion, to cancel Catskiing or any other outdoor activity for any reason whatsoever. GKLL will not issue refunds for discretionary cancellations. 

Late Arrivals 

Because we regularly experience severe weather conditions in the region that can cause flight delays, cancellations and challenging driving conditions, GKLL strongly recommend that all guests plan to arrive the day prior to the start of their trip. (Big White Ski Resort in Kelowna or Silver Star in Vernon are a fantastic place to go for a day to warm up your ski legs ahead of your trip!) 

For safety reasons, we cannot accept guest arrivals at the lodge after 10pm during the winter. If you experience weather delays or cancelled flights that will result in your arrival in Kelowna after 8pm, we suggest you consider booking overnight accommodations and plan for an early transfer the following morning. Our guest relations team can provide information and assistance with this. 

GKLL will not make exceptions for any reason and will not provide refunds or credits due to late arrivals or early departures.  

Insurance 

Emergency Medical & Evacuation Insurance 

All Catskiing packages include limited emergency medical insurance to cover medical evacuation and expenses incurred due to an unexpected illness or injury that requires hospitalization or a doctor’s visit during your trip. This includes air evacuation to the nearest hospital. This policy will coordinate with other health insurance plans you may have.  View the Emergency Medical and Evacuation summary here. 

Trip Cancellation & Interruption Insurance 

We highly recommend all guests take out Trip Cancellation and Interruption Insurance and insure their experience. GKLL will only provide partial refunds as set out in these Terms and Conditions; Trip Cancellation and Interruption Insurance is the only way to obtain a full refund.  

Our preferred provider is Acera Insurance; they are a member of HeliCat Canada and have experience providing insurance for cat ski adventures. A Trip Cancellation and Interruption Insurance policy insures against unexpected cancellations prior to your departure and disruptions during your trip that may cause you unexpected travel expenses or the loss of all or a portion of your cat ski trip. (i.e., illness, injury, death of a family member, delayed flights, missed shuttles, cancellation by tour operator etc.) 

This product is recommended solely for the benefit of our guests. GKLL does not receive any remuneration from the purchase of Travel Insurance. If you are concerned, you may have to cancel; this is your only option to obtain a full refund.

Visiting Canada as A Tourist 

Most people need a Visa or an Electronic Travel Authorization (eTA) to fly to or transit through Canada. (US Citizens will only require a passport). 

Be prepared: Apply for an eTA as soon as possible. Most applicants are approved within minutes. However, there is the possibility of a delay or a denial.

It is recommended you arrange your eTA as soon as possible to pre-determine your entry status. 

Note that a denied or delayed eTA or denied entry at the Canadian Border is not covered by our preferred travel insurance provider. 

Re-Booking Terms 

It is the sole discretion of GKLL to offer current guests the option to reserve the equivalent timeslot the following year. If GKLL offers this option, the option will expire 7 days after the end of the trip, at which point the guest will lose priority for the future requested slot. 

To exercise the option to reserve, GKLL requires guests to pay a non-refundable 25% deposit upon rebooking; an additional 25% deposit must be paid by May 1, and the remaining 50% of the balance must be paid by October 1. 

GKLL will not reserve dates without payment of the 25% non-refundable deposit. There are no exceptions to this policy. If the additional 25% payment has not been received by the May 1 deadline or the 50% final payment has not been received by the October 1 deadline, GKLL reserves the right to cancel the booking and re-sell the seat. If GKLL is able to re-sell reservations on the cancelled reservation date at full price, then GKLL will refund all funds received from you over and above the 25% non-refundable deposit. 

Late payment terms are applicable to re-bookings. 

Liquor Policy 

Due to the specifics of British Columbia Liquor Laws, any alcohol on the premises must be purchased under our liquor license. As a result, guests are not permitted to bring their own alcohol to GKLL. GKLL’s bar, The Twisted Post, is stocked with a full selection of beer and spirits and has a full range of British Columbian and international wines. 

Harassment (sexual, physical, verbal), bullying & violence against GKLL staff policy. 

GKLL is committed to preventing workplace harassment, bullying and violence and providing a work environment in which all individuals are treated with respect and dignity and protected from violence. Workplace harassment, bullying or violence will not be tolerated from any staff member, guest or third parties at GKLL. 

Harassment (including sexual, physical, or any inappropriate vexatious conduct or comment by a person towards a worker that the person knew or reasonably ought to have known would cause that worker to be humiliated, offended or intimidated), bullying and violence at GKLL is unacceptable from anyone in and around the premises. GKLL will take whatever steps are reasonable to protect its workers from workplace harassment, bullying and violence from all sources.  

Guests or third parties that violate this policy may be subject to the following actions at the sole discretion of GKLL management: 

  • Be asked to leave GKLL premises; 
  • Be permanently or temporarily banned from GKLL premises; 
  • Be reported to the Royal Canadian Mounted Police (RCMP) (Lumby or Vernon) detachments 

Staff (including managers, supervisors, sub-contractors and workers) of GKLL are expected to uphold this policy and will be held accountable by GKLL to work together to prevent workplace harassment, bullying and violence. Any incidents of sexual/physical/verbal harassment, bullying or violence are to be immediately reported by either guests or staff members to GKLL management. 

Under no circumstances is GKLL responsible for the guests’ or third parties’ inconvenience or travel expenses or for providing a refund or future credit as a result of the application or enforcement of this policy. 

Indemnification 

To the maximum extent permitted by applicable law, you agree to defend, indemnify, and hold harmless GKLL, its respective directors, officers, employees, agents, service providers, contractors, licensors, suppliers, successors, and assigns from and against any claims, liabilities, damages, judgments, awards, losses, costs, expenses, or fees (including reasonable legal fees) arising out of or relating to your breach of these Terms and Conditions, Policies or your use of the Website, including, but not limited to, third-party sites, any use of the Website’s content, services, and products other than as expressly authorized in these Terms and Conditions. 

Governing Law and Choice of Forum 

This Website and these Terms and Conditions will be governed by and construed in accordance with the laws of the Province of British Columbia and the federal laws of Canada applicable therein, without giving effect to any choice or conflict of law provision, principle, or rule (whether of the laws of the Province of British Columbia or any other jurisdiction) and notwithstanding your domicile, residence, or physical location.   

Any action or proceeding arising out of or relating to this Website and under these Terms and Conditions will be instituted in the courts of the Province of British Columbia and/or the Federal Court of Canada, and each party irrevocably submits to the exclusive jurisdiction of such courts in any such action or proceeding. You waive any and all objections to the exercise of jurisdiction over you by such courts and to the venue of such courts. 

Modification to the Terms and Conditions and the Website 

We reserve the right in our sole discretion to revise and update these terms and conditions from time to time. Any and all such modifications are effective immediately upon posting and apply to all access to and continued use of the Website. You agree to periodically review the terms and conditions in order to be aware of any such modifications, and your continued use shall be your acceptance of these.  

The information and material on this Website may be changed, withdrawn, or terminated at any time in our sole discretion without notice. We will not be liable if, for any reason, all or any part of the Website is restricted to users or unavailable at any time or for any period.
